SUPERVISION RECEIVED: Works under the general supervision of the Orthopaedic Surgery Residency Administrative Program Coordinator.
SUPERVISION EXERCISED: May lead/supervise lower level employees as assigned.
MINIMUM QUALIFICATION REQUIRED
KNOWLEDGE, SKILL AND ABILITY: Considerable knowledge of office systems and procedures; considerable knowledge of proper grammar, punctuation, and spelling; knowledge of business communications; some familiarity with Graduate Medical Education; some knowledge of business math; oral and written communication skills; interpersonal skills; ability to operate office equipment which will include desktop, laptop, and/or tablet computers, projectors, scanners, printers, and other automated equipment. Ability to maintain confidentiality of and apply to sensitive data relating to past, current and future trainees and faculty as directed by supervisor
EXPERIENCE AND TRAINING: General Experience:
Two (2) years of relevant administrative experience, Demonstrated experience with MS Office programs, e.g., Outlook, Word, PowerPoint, Excel and Access. Experience with database management.
College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equaling one-half (1/2) year of experience.
PREFERRED EXPERIENCE: Knowledge of Graduate Medical Education training program. Working knowledge of internal ordering systems within 2 months of hire.
EXAMPLES OF DUTIES:
Organizes and maintains program files and financial documents
Learn and utilize Banner, Kronos, Husky Buy, Internal Catering as needed
Learn and utilize MyEvaluations.com online system to compile duty hour and evaluation reports
Maintain system to track resident time out requests
Complete Resident Travel requests as needed
Request pre-approval and reimbursements for educational travel stipend funds
Uses Excel, Access, or other database programs to assemble data and create reports
Maintains updated electronic alumni files and contact information
Assists program Coordinator in the performance of administrative and program activities.
Acts as a resource and/or administrator for Orthopaedic Surgery Residency Programs and events in Coordinator’s absence within prescribed limits of authority, which will include the interpretation of the established departmental policies and procedures; troubleshoot and work to resolve any administrative issues or trainee crisis
Attend weekly and monthly staff meetings as directed
Perform other related duties as required by the Program Coordinator or Departmental Administrative Officer.
SHEDULE: Part-time 40% position with no health/dental benefits. 16 hour work week, hours flexible to work between the hours of 8am - 4:30pm, Monday through Friday. Some weekends, evenings, holidays as required. Possible travel.
FULL TIME MINIMUM EQUIVALENT SALARY: $44,824
