Department Marketing Statement
The Department of Orthopaedic Surgery at the Medical College of Georgia is recruiting for our vacant Office Specialist position.
We provide comprehensive care for all aspects of orthopaedic surgery. Faculty members provide general orthopaedic care and are fellowship trained to provide expertise in total joint arthroplasty, hand and upper extremity surgery, spine surgery, pediatric orthopaedics, orthopaedic trauma, sports medicine and podiatry.
Surgeons in the Department of Orthopaedic Surgery maintain expertise in the following areas:
Treatment for disorders of the hand and upper extremity including arthroscopic carpal tunnel release
All aspects of sports medicine including arthroscopic shoulder decompression and reconstruction
Treatment of complex spinal disorders
Treatment of musculoskeletal tumors
Care for musculoskeletal trauma
Adult reconstruction to include complex primary and revision total hip and knee arthroplasty
All aspects of pediatric orthopaedics
In conjunction with the pediatric neurosurgery, the pediatric orthopaedic service offers specialty clinics for cerebral palsy and myelomeningocele
Activities in the Department focus on providing clinical services for patients seeking care for orthopaedic problems while maintaining quality educational programs for students and residents. The Department also fosters and supports both laboratory and clinical research efforts.
Associate’s degree from an accredited college or university and one year of experience
High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization is required and a minimum of four years’ progressively responsible office support experience
Knowledge, Skills, & Abilities
Ability to maintain confidentiality, to work independently, to prioritize, to multi-task, to exercise sound judgement, and to make responsible decisions
Excellent interpersonal, verbal, and written communication skills
Knowledge of medical terminology
Proficient in Microsoft Office and other computer software/databases
Previous office experience in an academic medical center or healthcare environment
The Office Specialist will provide administrative support to faculty in the Department of Orthopedic Surgery including completing forms, preparing correspondence and submitting travel documentation. The incumbent will provide consistent phone coverage for multiple phone lines within the department.
The responsibilities include, but are not limited to:
Greet and assist visitors; cover front desk and serve as receptionist in suite and/or other general areas; answer phone lines and assist with ensuring lines are manned at all times during normal business hours.
Distribute and post mail; assist with preparation of information for patients, faculty, staff, et al as needed including but not limited to patient records and forms, email messages, correspondence, and bulk mail preparation.
Maintain calendars as needed; record and report faculty clinic cancellations; assist with coordination and planning meetings, conferences, workshops as requested by faculty members; provide logistical support during events including registering participants, preparing presentation, etc.
Handle travel arrangements and reimbursements including booking and lodging; assisting with event registration, and submitting receipts and other documentation required for prompt reimbursements.
Ensure and assist with proper maintenance of records; prepare and submit clinic cancellations for approval; complete and submit faculty forms e.g. faculty outside professional activity forms, faculty leave requests and faculty travel authorization forms
Draft and prepare final versions of correspondence; attend meetings, conferences, etc. to serve as recording secretary; enter and retrieve information from patient charts as needed
Provide back up support to team members and complete other duties as needed to ensure the goals and plans for the department are realized
Perform all other related duties as assigned.
Pay Grade: 9
Salary: $13.01/hr - $16.20/hr
Salary to be commensurate with qualifications of selected candidate within the established range (generally minimum-midpoint) of the position
