Job Description

The Supply Chain Specialist is a key support person who is responsible for managing the entire supply chain support of raw material, device components, and off-the-shelf orthotics for patient care services provided by the Prosthetics and Orthotics (P&O) Division. This position will work collaboratively with the Operations Manager and Technical Manager to ensure that the P&O Division is operated on a fiscally sound manner and has the necessary equipment and supplies to provide timely and quality care to its patients. This person works independently and uses various inventory, communication, and procurement systems at the University of Virginia and within the Health System. Reports to the P&O Operations Manager to manage all P&O inventory room stock. Conducts regular inventory counts of fabrication material, components and supplies. Uses computer based systems from maintain inventory par levels and ordering. Performs specialized custom ordering and requisition activities in appropriate systems based on the needs of the certified and technical staff for patient care. Routes all orders to the Orthopaedic Surgery Department Finance Generalist for approval and verification that both spend and work categories are correct. Receives items upon delivery and stores the material and items in the appropriate storage bins within the P&O inventory storage area after appropriate item classifying and labeling. Informs certified or technical staff when their needed supplies and components have arrived for patient care. Follows through with custom orders to ensure that the Certified Orthotist (CO), Certified Prosthetist (CP) or Certified Prosthetist and Orthotist (CPO) or other technical staff have the appropriate components and materials to complete the device for patient use in a timely manner.  Works with the Operations Manager and Technical Manager to minimize inventories and reduce costs through standardization and selection of lowest cost inventory consistent with acceptable levels of quality. Ships items to patients and sends returns to vendors. Reviews weekly and updates the par levels to reflect inventory use frequencies. Tracks product recalls and communicates key information to the technical staff. Maintains compliance with state and University policies regarding receipt, issuance, maintaining records, and inventory of supplies, materials, and components. Checks items for expiration dates and rotates inventory stock as appropriate.  Works with receptionist/schedulers/prior authorization staff members to keep the daily work load flowing smoothly and helps prevent excessive wait times because of inventory/supply issues. Ensures that all divisional, departmental, health system, and JCACO guidelines are met. Identifies and coordinates items to be donated following 501c3 IRS/Nonprofit guidelines and obtains appropriate UVA approvals before donation disbursements. Oversees shipping of all FedEx, UPS, and USPS items requiring freight service. Serves as oversight person for the inventory storage area to ensure that the space is clean and without trash from incoming deliveries daily.  Properly deposes of all trash. Obtains new bins and rearranges the inventory when required to properly store and maintain inventory in an orderly fashion. Receives urgent orders on occasion outside normal business hours when the delivery company cannot deliver during the day shift. Performs other duties as required or assigned. MINIMUM REQUIREMENTS Education: ​ High School Diploma or equivalent. Experience: Three years of relevant experience. Associate's or Bachelor's degree considered in lieu of two years of experience. Licensure: Valid Commonwealth of Virginia Driver’s License required. PHYSICAL DEMANDS Job requires sitting/standing for prolonged periods, frequently (distance: 1 – 2 miles/day), climbing (ladder, steps) and reaching (overhead, extensive, repetitive). Ability to lift/push/pull 20 – 50lbs. This job may be exposed to electric current while working on electronic equipment, exposed to extreme temperatures in steam tunnels and required to stand on different surfaces. COVID Vaccination Requirement   The University of Virginia expects all current and new employees (UVA Health System and Academic), to be vaccinated against COVID-19.    If hired to work within the University Health System, you will be required to provide proof of vaccination or be willing to receive the vaccination.
